Seeking Finance & Operations Manager for the Preservation Trust of Vermont

The Preservation Trust of Vermont (PTV) builds community through the preservation of historic buildings, villages, and downtowns. Last year, PTV worked on 264 preservation and revitalization projects in 152 Vermont communities. More information about PTV can be found here.

PTV is seeking a highly organized and collaborative team member who will help PTV achieve its mission by managing our daily finance and operational functions. The ideal candidate will have experience with nonprofit finances and administration, have exceptional attention to detail, and be excited to serve Vermont communities.

Duties and Responsibilities:

Financial

  • Performs all regular bookkeeping tasks for the organization, including:
    • Inputs all invoices in QBO into appropriate budget lines and classes, ensures timely payment of all vendors, and processes A/P on a weekly basis
    • Collects W9s for Independent Contractors requiring 1099s prior to sending payment; upload W9 and information into QBO.  Files annual 1099 forms
    • Enters payroll information into QBO after bi-monthly payroll is run
    • Inputs all income into QBO, performs weekly bank deposits for cash/checks received, and reconciles QBO reports against our development CRM monthly
    • Tracks income owed to the organization and invoices for A/R monthly
    • Enters journal entries as needed
    • Reconciles monthly bank, investment, loan, and credit card statements
    • Monitors cash flow to ensure payment of all vendor bills and bi-monthly payrolls; reports any anticipated issues to supervisor
    • Provides financial reports/information to staff.
  • Tracks various restricted funds and grants (both received and sub-granted out) and identifies internal transfers that need to be made. Responsible for ensuring that restricted fund requirements are tracked appropriately, and the income is released in QBO as restrictions are met.
  • Collaborates with the Director of Finance & Administration on annual tax filings, audits, budget preparation, and financial reporting needs
  • Assists the Development Director and President as needed on administrative aspects of the organization’s development efforts.

Operations

  • Assists in Board meeting organization and logistics:
    • Assembles and disseminates Board meeting materials
    • Coordinates board meeting logistics
    • Records Board meeting minutes
    • Facilitates Board communications
  • Responsible for overall administrative operations:
  • Provide logistical and administrative support to staff including assisting with conference, retreats, and other events
  • Respond to general email communications, answer telephone, process mail
  • Track grant agreements, award letters, and reporting
  • Maintain PTV organizational and project files (both electronic and physical)
  • With input from staff, draft grant award letters and agreements
  • Maintain office and fundraising supply needs
  • Supports HR functions for the organization
  • Provide for maintenance of office machines (e.g., printer, copier, fax, phone system)

Qualifications/Desired Characteristics:

  • Outstanding interpersonal and communication skills, both oral and written
  • Demonstrates integrity and honesty and exercises excellent judgment regarding confidential information
  • Highly organized and able to multi-task
  • Efficient in an environment with evolving priorities
  • Works well independently as well as with a team
  • Proficient in Microsoft Excel, Microsoft Word, and Google Suite
  • Proficiency with QuickBooks Online and nonprofit accounting
  • Bachelor’s degree, or other relevant financial credentials
  • Has a commitment to serving Vermont, a sense of humor, self-awareness, a can-do attitude and a desire to grow professionally.

Work Environment:

This is a 40-hour-a-week position with some evenings and weekends. Work will be performed both in our Montpelier office (two days a week) and remotely, such as from a home office.

Compensation:

The salary range for this 40 hour-a-week position is $65,000-$70,000. Compensation package includes 30 days of combined paid time off, plus holidays, parental leave, employer contribution to health insurance (or cash stipend), and employer contribution to retirement.
